FAQ
The Flight Management App (FMA) is web-based flight management software for operations, dispatch, and charter management built specifically for air charter operators, scenic tour providers, and regional flight operations. Being an all-in-one SaaS solution, it streamlines everything from passenger bookings, manifests, and flight following to pilot compliance tracking and B2B agent management.
Yes, FMA can be used for non-aircraft operations. Just adapt it to your tour and charter needs. While the flight scheduling software was originally built for the aviation industry, it can be used for any type of tour or charter operation.
Every operator on FMA receives a dedicated database. You will access the platform using either your own domain (e.g., yourcompany.com) hosted on our platform, or via a custom subdomain on our domain (e.g., yourcompany.fmaport.com) which you can link to from your main website. We can also build and host your website which links to the FMA platform. A development contract rate applies to custom work. All this gives you the flexibility to choose how you use our flight management system.
Yes, cutomers can book directly. Our flight booking system also includes a built-in B2B Agent Portal. You can grant travel agents access with tailored payment terms (Prepaid or Invoice), custom STO / buy-rate pricing threshold structures, and unique QR code voucher verification for streamlined check-ins.
Our flight management software enforces strict safety parameters per aircraft. The system tracks individual passenger weights and baggage weights against maximum payload capacities of each aircraft to ensure your flights remain safe and within legal operational weight limitations before boarding. While we take every care to ensure our flight booking system is accurate, it is ultimately your responsibility to ensure your operations are compliant with all applicable safety regulations. FMA accepts no liability in the case of discrepancies in the system.
Yes, our flight scheduling system supports multiple flight mission types: Scenic Flights with specific durations and route times. Private & Sub-Charters with customized distance/sector quote generation. Accommodation & Airstrip Transfers linking specific airfields and Airport/Airstrip fees.
FMA features a dedicated Lodge Transfer module where tour operators and agents can submit multi-leg transfer requests. The system tracks agent reference numbers, departure/arrival accommodation, total passenger and luggage weights, STO/Rack rates, and payment/deposit statuses—allowing ops staff to convert confirmed requests directly into live flight missions and passenger bookings with a single click.
FMA features built-in compliance tracking for flight staff. The system tracks pilot flight hours, employment dates, pilot licence expiry dates, and medical clearance renewal dates, ensuring you never accidentally assign an uncertified or out-of-check pilot to a live mission. While we take every care to ensure our flight scheduling system is accurate, it is ultimately your responsibility to ensure your operations are compliant with all applicable safety regulations. FMA accepts no liability in the case of discrepancies in the system.
Yes, our flight booking system manages the entire flight lifecycle from booking to landing: Booked (Awaiting Tour/Flight), Boarding Pass Issued & ID Verified, On Aircraft, and Landed Safely. Flight and desk staff can track and update statuses in real-time.
The Flight Management App supports multiple payment options, including Credit Cards online, In-Store CC, Cash, Bank Deposits, Credit Notes, and Complimentary flights. Standard merchant payment fees can also be configured automatically per payment type. Credit card refunds for tours can also be processed online with a single click.
Our flight booking system supports multi-currency pricing. You can choose whichever default currency you prefer when you sign up. Each tour or product is also capable of being charged in multiple currencies depending on your target market.
FMA natively supports payments via DPO. However, you can simply request whichever payment provider you prefer, such as Stripe, Square, or Paypal and we will build this into FMA for you. Do note that any custom development will be subject to a contract rate determined prior to commencement. You can also conveniently have multiple payment providers on the same FMA account for you to choose from.
Yes. FMA is flight scheduling software that produces detailed daily schedules at the click of a button. Data is automatically drawn from relevant records for instant display. Schedules can then be confirmed, printed, and saved. Each new schedule for the day has a unique serial number for tracking and auditing purposes.
FMA includes a complete daily flight follow and schedule builder at the click of a button. Ops managers can assign duty pilots, duty managers, standby crews, drivers, and flight followers, while keeping track of approved days off and staff leave schedules.
Upon signing up with FMA, you will be asked to select your default weight unit of measurement from either Kilograms (kg) or Pounds (lb).
When you sign up, you can choose either Miles (mi), Kilometers (km) or Nautical Miles (NM) as your default distance unit. Speed units are automatically assigned based on your default distance unit. So, km => km/h, mi => mph, and NM => kts.
Yes. FMA natively supports multi-leg flight structures. You can link multiple leg mission IDs together, set individual Sector Flight Times, Estimated Departure Times (ETD), and Estimated Arrival Times (ETA) per leg while maintaining continuous passenger and payload tracking.
Our flight management system maintains an airframe profile for every aircraft in your fleet, including make, model, seat capacity, schedule speed, operational status (active or in maintenance), and maximum passenger weight limits.
FMA tracks sales staff and agent bookings automatically. It calculates agent commission amounts, marks when invoices are paid, logs which staff member processed the payment, and updates booking payment statuses in real-time.
Your data is securely isolated within dedicated tenant databases. FMA enforces encrypted passwords, automated login attempt monitoring to prevent brute-force attacks, and role-based access permissions (e.g., Pilots, Reservations Staff, Finance Managers, Chief Pilots, Ops Managers). On top of this, FMA is backed up daily and securly stored offsite in case disaster strikes.
Security is built into FMA's core. Along with Cloudflare and Server protections, FMA features automated login attempt logging that tracks IP addresses and user agents. It automatically locks out suspicious login activity and routinely purges historical security logs to optimise database performance.
The Flight Management App generates daily Flight Follow logs that record notes, print times, authorising staff, and approving managers. This ensures your dispatch office maintains audit-ready digital paper trails for regulatory authorities.
Yes. FMA includes a dedicated Sightings and Flight Notes module where pilots and other staff can upload images and descriptions of interesting sightings during scenic flights.
Yes. Through your dashboard, you can customise your long/short business names, support emails, baggage weight defaults, custom header logos, favicons, and desktop/mobile background imagery to match your company's branding.
FMA is designed with a lightweight, responsive interface that requires minimal training. Schedulers, pilots, and reservations staff can access their specific web portals from any modern browser on standard PCs, tablets, or mobile devices.
FMA allows you to register sub-charter companies and tag specific missions as sub-charters. You can track external aircraft, schedules, and costs while keeping passenger manifests, weight checks, and boarding passes unified inside your main dispatch workflow.
Yes. FMA includes a built-in post-flight feedback system. Customer reviews, ratings, and comments are tied directly to their specific booking, giving operations managers complete visibility into service quality per flight leg or pilot.
FMA maintains an airstrip database featuring GPS coordinates, airfield types (Fixed-Wing vs Helicopter), indemnity signature requirements, and per-passenger airstrip fees. Rates between departure and arrival zones calculate automatically, ensuring accurate quotes and invoices for transfers.

PRICING
Every plan includes the full suite of features with unlimited users and aircraft. No cut back
versions! We only charge based on how much you utilise our flight management software.
FMA calculates your subscription tier using Daily Activity Units (DAUs)—a rolling 3-month
weighted average of your activity across bookings, missions, quotes, transfer requests,
product sales, and schedules. This prevents occasional daily spikes in usage from instantly
putting
you into a higher plan. Plus, if your usage stays below your current plan's parameters for 12
months, you
can downgrade to a smaller plan.
For example, a smaller operation averaging up to 10 missions per day would likely fit into our
Small Plan of up to 10 DAUs. You can keep an active eye on your DAUs via the FMA dashboard to
see if you can downgrade or if you might need to upgrade soon. Remember, if your DAUs go up, it
means your business is growing!
